Digital and Communications Assistant
Salary: £23,000
Hours: 40 hours per week including some evening and weekend work as require for events
Contract: Permanent contract on successful completion of probation period
Location: Oxford OX1. Please not that this role is office-based. Some days of remote working can be accommodated upon appointment.

The Role
The Digital and Communications Assistant supports all aspects of the Digital & Communication team’s work, helping to organise, administer, manage and deliver a broad range of work across press, marketing, media, digital content and events.
The role requires a keen eye for detail and to be able to demonstrate strong organisational and administration skills. Being proactive and having an ability to prioritise and deliver multiple strands of work to deadlines is vital to this role. Good planning, research, communication and team-working skills are essential in this busy, demanding and exciting environment.
Principal Responsibilities
Communications
- To assist the Head of Digital and Communications in promoting exhibitions, projects and other organisational activity, including copywriting and editing, proofreading, and creating content for a variety of platforms.
- To help ensure the charity’s website is regularly updated with new content and that all information is kept up-to-date and imagery is uploaded and refreshed as and when needed.
- To create content and post to the organisation’s social media channels, following best practice for accessibility, with oversight from the Digital Content Curator - including researching ideas, writing posts, image selection, creating social media graphics, post scheduling and engagement and comment monitoring.
- To manage, with assistance from the Head of Digital and Communications and an external designer, the design and production of the charity’s quarterly print materials, including the what’s on guide and exhibition posters, and book in distribution runs with our external delivery partners.
- To support communications activities by assisting with planning and delivery of mailings, e-marketing, listings and advertising.
- To set up and monitor ticketing for the organisation’s events, including writing pre and post event emails to attendees.
- To support the team with the creation of in-house design and printed materials, including signage and merchandise.
- To update internal staff and board members on campaign information including press highlights, audience figures and digital analytics from key campaigns.
Press
- To assist the Head of Digital and Communications to liaise with key press contacts, ensuring journalist requests for images and further information is provided efficiently and accurately.
- To collate materials supporting press campaigns, such as image sheets and press packs.
- To support the planning and delivery of events, including press views.
- To collate press coverage for evaluation and reporting.
Digital Content
- To assist the Digital Content Curator in the delivery of the digital programme, through research and content creation such as video and audio based content, social media and blog posts, whilst following best practice for online accessibility.
- To manage and deliver, with support from the Head of Digital Communications and the Digital Content Curator, online content creation for key projects and programmes
- To assist the Digital Content Curator in the delivery on their annual online participatory project
- Working closely with the Communities, Practice and Participation team, artists and project participants to create content that represents our learning activities online.
General
- To administer team finances by processing invoices and entering information into budget sheets in an accurate and timely manner.
- To support the team in collecting and recording audience feedback and campaign data and managing data entry into key reporting documents.
- To liaise with external stakeholders and service providers as required.
- To act as the first point of contact for general enquiries regarding Digital and Communications work via maintenance of the team’s general inbox.
